You have a document that needs a signature. Maybe it's an offer letter, a sales agreement, a waiver, or an internal approval form. You need to get it signed quickly, track its progress, and keep everything organized.
That's where Dropbox Sign comes in.
In this course, you'll learn how to send signature requests, create reusable templates, track document status, and use common Dropbox Sign features to streamline your everyday work.
What's Dropbox Sign?
Dropbox Sign helps you send, sign, and manage documents electronically. Instead of printing, scanning, and emailing paperwork, you can complete the entire signing process online.
Whether you're collecting signatures on an offer letter, sending a contract for approval, or sharing a waiver with multiple recipients, Dropbox Sign helps you keep the process secure, organized, and efficient.
Every completed signature request includes an audit trail that records important details about the signing process, helping provide transparency and accountability for everyone involved.
Navigating your homepage
When you sign in to Dropbox Sign, you'll land on your homepage. Think of it as your starting point for sending documents, managing templates, and tracking activity.
From the homepage, you can:
Create a new signature request.
Start from a template.
Upload a document to sign yourself.
View recent document activity.
Access your templates and integrations.
The left-hand navigation menu helps you move between key areas of Dropbox Sign:
Documents
View and manage signature requests and completed documents.
Templates
Create, access, and manage reusable document templates.
Integrations
View connected third-party applications.
As you continue through this course, you'll spend most of your time working in Documents and Templates.
Understanding document statuses
After sending a signature request, you can track its progress from the Documents page.
Understanding document statuses helps you quickly determine what action, if any, is needed.
Draft
The document has been created but not yet sent.
Sent
The request has been sent and is waiting for signer action.
Viewed
At least one signer has opened the document.
Signed
A signer has completed their portion of the signing process, but additional steps may still be required.
Completed
All required signatures have been collected and the request is finished.DeclinedA signer declined the request.
Expired
The signing deadline passed before completion.
Tip
If you're waiting on a signature, checking the document status is often the fastest way to understand where the request is in the signing process.
If a document remains in Sent status because a signer hasn't taken action, you can send a reminder directly from the Documents page.
Finding templates
Use the Templates page to:
Access reusable templates you've created.
Find templates shared with your team.
Locate starred templates for quick access.
If you use the same templates regularly, consider marking them as favorites to make them easier to find in the future.
Common task
Looking for a document that's waiting for action?
Start by checking its status in the Documents page. Status information often helps identify whether the request is still waiting for signatures, has been completed, or requires follow-up.
Example
A manager asks, "Has the candidate signed yet?"
In the Documents page, checking the document status can quickly provide the answer:
Sent or Viewed: Action is still required.
Completed: All required signatures have been collected.
Declined or Expired: Follow-up may be needed.
