Work doesn't always happen at your desk.

You might need to review a file while travelling, upload photos from a customer visit, or keep working when you don’t have an internet connection.

In this module, you'll learn to keep your work accessible wherever you’re working, from making files available offline to capturing content on mobile and protecting files with Dropbox Backup.

Keep working wherever you are

Moving away from your desk doesn't mean starting over.

Dropbox helps you keep your work accessible when you change locations. And when you know you’ll be without an internet connection, you can make the files you need available offline.

Keep working offline

You won't always have a reliable internet connection, especially when travelling or working on-site.

Dropbox lets you make files available offline so you can continue working without an internet connection. Your changes sync the next time you're online.

Example

A sales representative makes an important presentation available offline before boarding a flight. During the journey, they review the slides and make a few updates.

Once they reconnect to the internet, Dropbox syncs their changes.

Work habit

Make important files available offline before travelling or working somewhere with limited connectivity.

Capture work on the go

Not every file starts on your computer.

You might need to upload a photo from a job site, scan a signed document, or save a file while you’re away from your desk.

Use the Dropbox mobile app to capture and upload content directly to Dropbox, so it’s available when you need it.

With the Dropbox mobile app, you can:

  • Upload photos videos, and files.

  • Scan documents directly to Dropbox.

  • Save content directly to the folder where your team is already working.

Example

A facilities manager notices a maintenance issue while visiting one of the company's offices.

They take a photo and upload it directly to the shared project folder. The rest of the team can review the issue and start planning next steps before the facilities manager returns to their desk.

Work habit

Upload photos and documents directly to the relevant project folder when you capture them. This keeps information organized and makes it available to your team straight away.

Protect important work with Backup

Working flexibly also means making sure important files aren't dependent on a single computer.

Sync and Backup serve different purposes. Sync keeps files in your Dropbox folders up to date across devices. Dropbox Backup creates a separate backup of selected folders on your computer or external drive.

Once you set it up, Dropbox Backup automatically backs up those folders, making it easier to recover your files if your computer is lost, damaged, or replaced.

Example

A designer's laptop stops working unexpectedly.

Because their important folders were backed up, they can recover their files and continue working from another computer without rebuilding their workspace from scratch.

Work habit

Back up important folders you use every day instead of relying only on files stored locally on your computer.

Keep work moving

Work can start in one place and continue somewhere completely different.

With Dropbox, your files can stay connected as you move between locations, work offline when needed, capture information while you're away from your desk, and protect important work on your computer.

You've learned how to keep work moving wherever your day takes you.

Next, you'll explore Dropbox tools that can help you collect files, review work, automate repetitive tasks, and simplify everyday workflows.
