5 minute read

It's your first week on the team.

Your manager shares a project folder. A teammate asks you to review a presentation before the afternoon meeting. Someone else mentions a document that was updated earlier today.

Everything is moving quickly, and before you can jump in, you need to know where your team's files live, how to access them from any device, and how Dropbox helps everyone work from the latest version.

In this module, you'll learn how to access your Dropbox account, work across desktop, web, and mobile, understand how syncing works, and prepare your workspace for collaborating with your team.

What is Dropbox for teams?

Your team's work doesn't live on one computer or in long email threads. Dropbox gives everyone a shared workspace where they can store, organize, and collaborate on files.

Whether you're working from the office, at home, or on the go, Dropbox helps your team stay connected by keeping files accessible, up to date, and easy to share.

How to sign in to your Dropbox account

The first step is accessing your team's Dropbox account.

Most organizations invite you by email when your Dropbox account is created. Once you've accepted the invitation, you can sign in from any supported device.

Sign in to Dropbox

  1. Open dropbox.com.

  2. Select Sign in.

  3. Enter your work email address and password.

  4. If your organization uses Single Sign-On (SSO), follow your company's sign-in process.

  5. After signing in, you'll arrive at your Dropbox homepage.

Note

If you haven't received an invitation yet, contact your Dropbox admin before creating a new Dropbox account with your work email address.

Work from desktop, web, and mobile

Dropbox lets you work from whichever device makes the most sense for the task you're doing. Your files stay up to date across your devices, so you can switch between them without interrupting your work.

Note

You don't have to choose just one way to work. Many people use the desktop app throughout the day, the web app from other computers, and the mobile app when they're away from their desk. Installing the mobile app early means you can access your work whenever you need it, without being tied to one device.

Get the Dropbox mobile app so your files are always within reach, wherever work takes you.

How Dropbox keeps your files up to date

Imagine you update a presentation on your laptop before lunch. A teammate opens the same file from the web a few minutes later, while another colleague checks it from their phone before joining a meeting.

Everyone sees the latest version because Dropbox automatically syncs changes across your devices.

Syncing helps your team:

  • Work from the latest version of a file.

  • Avoid emailing updated copies back and forth.

  • Continue working from different devices.

  • Stay aligned wherever they're working.

Dropbox also uses sync icons to show the status of your files, helping you quickly understand whether a file is available, syncing, or fully up to date.

Sync icons can look slightly different depending on whether you’re using Dropbox on a Mac or Windows computer.

Using a Mac? See what each Dropbox sync icon means and how to check your file status.
Using Windows? Explore the Dropbox sync icons you’ll see in File Explorer and what each one means.

Protect your Dropbox account

Your Dropbox account gives you access to your team's files and information, so it's important to keep it secure.

One of the easiest ways to protect your account is by enabling 2-factor authentication (2FA).

2-factor authentication (2FA) adds an extra layer of protection by requiring another way to verify your identity when you log in.

Turn on 2-factor authentication

  1. Open your account settings.

  2. Select the Security tab.

  3. Turn on 2-factor authentication.

  4. Follow the setup instructions.

Note

If you see Managed by single sign-on, your team admin manages how you sign in. Contact your admin if you have questions.

Work habit

Protect your work account by using a strong password and enabling two-factor authentication. It's one of the simplest ways to keep your team's content secure.

Your Dropbox workspace is ready.

You now know how to access your account, choose the best way to work across desktop, web, and mobile, keep files synced across devices, and protect your account.

Next, you'll learn how to organize your team's files so everyone can quickly find what they need and work from the same up-to-date content.
