Dropbox Sign reporting and compliance
Monitor account activity, generate reports, and use reporting data to support troubleshooting, compliance, and informed decision-making.
6 Leitura de minutos
Everything seems to be running smoothly, until someone asks a question. How many documents were sent last month? Who has been logging in? Which requests are still waiting for signatures? Or perhaps your compliance team needs information for an audit.
That's where reporting comes in.
In this module, you'll learn how to use Dropbox Sign reports to monitor activity, track document progress, and access information that can support security, compliance, and operational decisions.
Why reporting matters
As an admin, reporting helps you understand how Dropbox Sign is being used across your organization.
Reports can help you:
Monitor adoption and activity.
Track document progress.
Review security and compliance information.
Support audits and internal reporting requirements.
All reporting tools are available through the Admin console.
User activity reports
User activity reports provide insights into how individual users are interacting with Dropbox Sign.
These reports can help answer questions such as:
Who is actively using Dropbox Sign?
How many signature requests have been sent?
How many templates are being used?
Are there users who may need additional training or support?
User activity reports are available on Standard and Premium plans.
Common use cases
Monitoring adoption across teams and departments.
Identifying highly active users who may need additional licenses or support.
Supporting license reviews and account planning.
Measuring engagement and overall usage trends.
Document status reports
Document Status Reports provide visibility into the lifecycle of signature requests.
These reports include information such as:
Sender
Recipient
Date sent
Date completed
Current status
Days outstanding
Document status reports can help admins identify requests that are delayed, incomplete, or require follow-up.
Common use cases
Tracking document completion
Monitoring turnaround times
Supporting operational reporting
Note
Document status reports are available on Premium plans. If you don't see this report in your account, check with your Dropbox Sign admin or account owner to confirm which plan your organization is using.
Compliance reports
Compliance reports help admins monitor security, authentication, and API-related activity.
Dropbox Sign provides several compliance-focused reports, including:
Account & API key details
Provides visibility into:
User account status
API key usage
Login activity
This report is particularly useful when you need a snapshot of who has access to your account and which credentials are active. It's a good resource for periodic security reviews and access audits.
API call activity
Tracks:
API endpoints accessed
Request activity
IP addresses
User agents
This information can be useful for troubleshooting and security reviews. It's especially relevant for organizations that use API integrations, as it can help identify when an issue started and what requests were being made at the time.
Login activity
Tracks user authentication activity, including:
Login methods
Login timestamps
Access locations
These reports can support security reviews and compliance initiatives. If you need to investigate unusual account activity or provide evidence of access monitoring during an audit, this is often the report to start with.
Exporting reports
Reports can be exported from the Reporting section of the Admin console and downloaded as CSV files. This makes it easy to analyze data in tools such as Excel or Google Sheets, or share information with stakeholders.
Understanding reporting timeframes
Reports can provide historical visibility into account activity over extended periods of time.
Note
Data is available for up to 10 years and can be viewed in increments of one year or less.
This allows admins to analyze both recent activity and longer-term trends when needed.
Tip
Choose shorter date ranges when investigating specific events and broader date ranges when reviewing adoption or historical usage trends.
Reporting limitations
Understanding reporting limitations helps ensure you're interpreting report data correctly.
Reporting tip
Reports include data for current team members only. Users who have been removed from the team won't appear in future reports.
This is one reason user removal should be planned carefully. If you need reporting data related to a user's activity, generate and export any required reports before removing their account.
Before deleting documents
Deleting documents may affect your ability to access historical information later.
Note
Before deleting documents:
Generate any reports you may need.
Export data required for audits or compliance reviews.
Confirm retention requirements with your organization.
Warning
Deleted documents are removed from reporting data and cannot be recovered. If reporting information may be needed in the future, generate and retain any required reports before initiating document deletion.
This becomes especially important if your organization plans to use automated document deletion policies. Establishing a process for exporting reports before deletion occurs can help ensure important reporting data remains available when needed.
Reporting best practices
Consider the following recommendations:
Review reporting regularly to monitor adoption and activity.
Use user activity reports to identify training opportunities.
Use document status reports to monitor completion rates.
Use compliance reports to support security and audit reviews.
Export reports before making major account changes or deleting documents.
Consistent reporting practices help admins maintain visibility and support organizational governance requirements.
A simple rule of thumb: generate a report before making significant changes to your account. Whether you're removing a user, deleting documents, or onboarding a new team, having a record of account activity can help preserve important information and make future decisions easier.
Your account is growing. More users are joining, more documents are being signed, and more information is flowing through Dropbox Sign.
