Your team is using Dropbox Sign to send agreements, onboarding documents, approvals, and other important paperwork. People need access, settings need to be configured, and questions inevitably come up when something isn't working as expected.

That's where the Admin console comes in.

Whether you work in IT, Operations, or another administrative role, this course will help you confidently manage users, configure settings, monitor activity, and support your organization's use of Dropbox Sign.

What’s the Admin console

The Admin console is the central hub for managing your organization's Dropbox Sign account.

While team members focus on sending and managing documents, admins are responsible for managing the people, settings, and policies that support those workflows.

As an admin, you can:

  • Manage users and roles.

  • Configure organizational settings.

  • Monitor account activity.

  • Control security settings.

  • Access reporting and compliance tools.

Think of the Admin console as the place where you manage how Dropbox Sign operates across your organization.

Accessing the Admin console

To open the Admin console:

  1. Sign in to Dropbox Sign.

  2. Select the profile icon in the upper-right corner.

  3. Click Admin console.

The Admin console opens in a separate management experience designed specifically for admins. When you're ready to return to the standard Dropbox Sign interface, select Return to Dropbox Sign from the left sidebar.

Understanding the admin role

Being a Dropbox Sign admin doesn't require a technical background. What it does require is a general understanding of how your organization uses Dropbox Sign and where to find the tools needed to support it.

Some admins work in the Admin console every day, while others only use it occasionally when something needs attention. Either way, understanding your role and knowing where key settings live will help you manage your account more effectively.

Depending on your organization's needs, your responsibilities may include:

User management

  • Inviting new users.

  • Assigning roles.

  • Managing team access.

Security management

  • Enabling authentication controls.

  • Configuring SSO.

  • Managing access policies.

Governance

  • Managing templates and settings.

  • Configuring data residency.

  • Supporting compliance requirements.

Reporting

  • Monitoring usage.

  • Reviewing activity reports.

  • Tracking account adoption.

Your admin workspace

The left-hand navigation menu provides access to the key areas of the Admin console. Each section supports a different part of your administrative responsibilities, from managing users and teams to reviewing security settings and reporting data.

Navigating the Admin console

Most admin tasks start in one of these areas. Understanding what each one is used for will help you navigate the Admin console with confidence.

Users

Manage:

  • User accounts

  • Roles and permissions

  • Team membership

You'll use this area to invite users, update roles, and manage account access. For many admins, this is one of the most frequently used areas of the Admin console, especially when people are joining, changing roles, or leaving the organization.

Teams

Manage your organizational structure by creating and maintaining teams and sub-teams.

If your organization has a single group of Dropbox Sign users, you may not need this section often. However, if different departments, regions, or business units use separate workflows, this section can help keep users organized while maintaining appropriate separation between groups.

This section is especially important for organizations using Multi-teams.

Reporting

Access reports that help you understand:

  • User activity

  • Document activity

  • Compliance information

Reports can help admins monitor adoption, identify trends, and support compliance requirements.

They're especially useful for larger teams or when you need to demonstrate Dropbox Sign usage to stakeholders.

Settings

Configure organization-wide settings, including:

  • Branding

  • Document settings

  • Template settings

  • Data residency

Changes made here can affect your entire organization. Take your time when updating settings and make sure you understand the impact before saving changes, as some updates take effect immediately across the account.

Security

Manage security controls such as:

  • Two-factor authentication

  • SAML SSO

  • Access policies

These settings help protect user accounts and organizational data. If your organization has specific security, identity management, or compliance requirements, this is where you'll configure many of them.

Understanding account-level vs personal settings

Dropbox Sign includes both personal settings and organization settings.

Personal settings

Settings that affect only your individual account are managed from your personal settings.

To access them, click your initials in the top-right corner of the screen and select Settings.

Examples:

  • Personal profile settings

  • Individual preferences

Some settings, such as logos, branding, company taglines, and email signatures

Tip

Before making changes, take a moment to confirm where you're making the change.

This distinction matters more than it might seem. It's easy to update a setting in your personal account and expect the change to apply across your organization.

If a change doesn't appear to affect other users, check whether it was made in your personal account settings or in the Admin console. Organization-wide changes must be always made from the Admin console.
