You've created a template for a document you use regularly. Now imagine needing to send that document to an entire group of employees, volunteers, customers, or event attendees.

What’s Bulk Send?

Bulk Send allows you to send individual signature requests to multiple recipients at the same time using a single template.

Instead of creating and sending each request manually, Dropbox Sign automatically generates and delivers separate requests for every recipient listed in your CSV file.

Bulk Send is ideal for:

  • Policy acknowledgements

  • Compliance forms

  • Event waivers

  • Employee onboarding documents

  • Customer agreements

When should I use Bulk Send?

Bulk Send requires a template and creates a separate signature request for each row in your CSV.

For example, if you need 100 employees to sign the same policy acknowledgment, you can send all 100 requests at once using Bulk Send.

If your template includes multiple signer roles, each Bulk Send request will follow the signing workflow you've configured for that template. This allows every recipient to complete the same multi-signer workflow without creating each request manually.

Note

Bulk Send supports templates with up to 20 unique signer roles per request. The total number of requests you can send in a single Bulk Send job depends on your CSV and plan limits.

Downloading the CSV template

To begin a Bulk Send request:

  1. Select the template you want to use.

  2. Download the CSV template generated by Dropbox Sign.

A CSV is a spreadsheet-style file that can be opened in Excel, Google Sheets, or Numbers. Each row represents a recipient and the information needed to create their signature request.

The CSV template generated by Dropbox Sign already includes the required columns, such as signer information and any merge fields configured in the template. Your job is simply to fill in the recipient information and any additional values needed for each request.

After downloading the CSV template, open it in a spreadsheet application such as Google Sheets, Microsoft Excel, or Apple Numbers before adding your recipient information.

Completing the CSV

Before uploading your CSV file, you'll need to provide information for each recipient.

Common fields include:

  • Recipient name

  • Recipient email address

  • Merge field values

Each row in the CSV represents a separate signature request.

Dropbox Sign uses the information in your CSV to determine who receives each request and how merge fields are populated. Taking a minute to review your file before uploading can help prevent common Bulk Send issues.

Fill in every row completely

Partial rows are one of the most common reasons a Bulk Send fails.

Don't rename the column headers

Dropbox Sign uses those names to match your data to the correct fields in the template. If a header is changed, even slightly, the file may not process correctly.

Make sure all required merge fields contain values

Missing information can prevent requests from being generated correctly.

Keep the file saved as .csv

If you open and save the file in Excel, double-check the file format before uploading. Excel may save it in a different format by default.

Uploading and sending

Once your CSV file is complete:

  1. Upload the file.

  2. Review the request details.

  3. Add a title for the signature request.

  4. Optionally include a personal message.

  5. Click Send for signature.

Dropbox Sign will create and send an individual request to every recipient listed in the CSV file.

Each recipient receives their own personalized copy of the document.

Tracking your requests

Once your Bulk Send request has been sent, you can track each recipient's progress from the Documents page.

Every request appears separately, making it easy to see who has signed, who has viewed the document, and who has not yet taken action.

If your Bulk Send fails

Most Bulk Send issues are caused by problems within the CSV file.

Before creating a new upload, review the file carefully.

Common causes include:

  • Missing merge field values

  • Modified column headers

  • Invalid email addresses

  • Incorrect CSV formatting

Tip

If you're not sure what's causing the issue, review the CSV column by column rather than row by row. It's often easier to spot a missing value or formatting issue when comparing an entire column than checking individual cells one at a time.

Your document is out the door, and everyone has their own copy to review and sign. Whether you're sending to 10 people or 100, the process is now running at scale.
