Visibility and control: Reports, security, and SSO made simple

By the end of this course, admins will be able to effectively use the Admin console to generate and interpret signature activity reports, track document status, and implement key security configurations, including enabling SAML SSO for centralized user authentication. Admins will also understand best practices for safeguarding account access during initial SSO setup and managing user login options.

Reporting

As the admin on a Dropbox Sign team, you have access to a comprehensive reporting suite within the Admin console, enabling oversight of user activity, document progress, and compliance across your organization. These tools are crucial for maintaining operational transparency, ensuring regulatory adherence, and optimizing workflow efficiency.

The User Activity Report, available on Standard and Premium plans, offers insights into individual user behaviors. It details metrics such as the number of templates owned, signature requests sent, completion rates, cancellations, declines, and documents signed. This report aids in identifying active users and pinpointing areas where additional training or support may be beneficial.

For Premium plan users, the Document Status Report provides a document-centric perspective. It tracks each document's journey, noting the sender, recipient, dates sent and completed, current status, and the number of days outstanding. This report is instrumental in monitoring document lifecycles and ensuring timely completions.

The Compliance Report, accessible on Standard and Premium plans, comprises three distinct reports.

  1. Account & API Key Details: Offers information on user account statuses, API key usage, and login timestamps, facilitating security audits and API management.

  2. API Call Activity: Logs API interactions, capturing details like request IDs, endpoints accessed, timestamps, IP addresses, and user agents, which is vital for technical troubleshooting and monitoring API usage.

  3. Log In Activity: Records user login events, including methods used, IP addresses, and devices, supporting security reviews and access monitoring.

To access these reports, Admins should navigate to the Admin console's Reporting section. Here, they can view recent activity charts and generate detailed reports by specifying a date range (up to one year). Reports are delivered via email in CSV format.

Security

Within the Security section of Admin console, you can enable SAML SSO, which allows you to control how data and users are authenticated using a single set of login credentials.

To set up, you’ll need the following information from your IDP:

  • Identity provider sign-in URL.

  • Identity provider issuer.

  • X.509 certificate.

To enable SAML SSO, toggle on the option in the Security section and enter the required information, listed above and shown below.

Important to note:

  • When setting up SAML SSO for the first time, leave the Allow standard logins for admins option checked, so you can log in with a username and password if the setup is unsuccessful. If you don’t check this box, you could be locked out of your account.

  • Dropbox Sign does not currently support System for Cross-domain Identity Management (SCIM).

Data Residency

By default your account data is stored in the US. With a Premium plan you can choose to change this by using the Data Residency option. When updating your data residency the storage of your documents will be changed to the location you choose however, the rest of your account data, such as your billing information, will remain in the US.

Using the dropdown menu, select where you want your data to be stored: US, Australia, EU, Japan, Canada, or UK.
